Short answer: a WooCommerce AI assistant is a chatbot on your store that answers shoppers from your own product pages and store data, and can also act: look up an order’s status, find products from a plain-language description, check a coupon, answer shipping questions and follow up on abandoned carts. The useful ones are grounded in your catalogue rather than general AI knowledge, so they don’t invent stock levels or return policies. Outview AI Chatbot includes these WooCommerce skills on its Professional licence, $99 once for 3 sites (R1,999 in South Africa).

That’s the quick version. Below we cover what a WooCommerce AI assistant can and can’t do well, how to set one up, what it costs, how to measure whether it’s working, and the mistakes we see store owners make most often. For the general setup steps on any WordPress site, see our guide on how to add an AI chatbot to WordPress. We sell one of these tools, so we’ve flagged where you should test claims yourself, ours included.

Chatbot or assistant: what’s the difference on a store?

A basic WooCommerce chatbot answers questions. “Do you ship to Namibia?” “What’s your returns window?” Useful, but it’s essentially a smarter FAQ.

An assistant goes a step further and works with live store data. It can tell a customer that order #4821 shipped yesterday, suggest three products that match “a waterproof hiking jacket under R2,000 in navy”, confirm whether WINTER15 is still valid, or email a shopper who left a full cart with a reminder and a discount code you’ve approved.

The distinction matters because the questions that cost you the most time on a store aren’t general ones. They’re specific: where’s my order, which size, does this fit that, will it arrive before Friday. An assistant that can answer those from real data takes work off your plate. One that can’t just redirects people to your contact form.

What a WooCommerce AI assistant can do

1. Answer product questions from your catalogue

The assistant indexes your product titles, descriptions, attributes and policy pages, then answers from them. A shopper can ask “is the oak dining table solid wood or veneer?” and get the answer from your product description, with a link to the page. This is the job most stores start with, and it’s where grounded answers matter most. We go deeper on this in how a chatbot reduces product support tickets.

2. Search products in plain language

Many default store search boxes are literal. Type “gift for a dad who braais” and you’ll often get nothing back. An AI assistant understands the intent and suggests matching products from your catalogue. For stores with hundreds of products, this alone can change how browsing feels.

3. Check order status

“Where is my order?” is one of the questions online stores hear most. An assistant connected to WooCommerce can look up the order and report its status. Before you switch this on, test exactly what details a customer must provide, and make sure that’s enough to stop someone looking up another person’s order.

4. Validate coupons and answer pricing questions

A shopper whose code won’t work can easily give up on the checkout. An assistant can check whether a coupon is valid and explain why it isn’t: expired, minimum spend not met, or excluded products in the cart.

5. Answer shipping questions before checkout

Delivery cost and timing cause a lot of hesitation. An assistant can answer from your shipping rules and policy pages. See our guide to answering shipping questions before checkout.

6. Recover abandoned carts

The assistant can trigger a helpful message when a shopper hesitates on the cart page and send a follow-up email with a discount code if they leave. Done badly, this is irritating. Done well, it answers the question that caused the pause. We wrote about cart recovery that feels helpful, not pushy.

7. Capture leads and book appointments

For stores that also sell services, such as fittings, installations or consultations, the assistant can collect contact details and book a slot in Google Calendar.

What it shouldn’t do

An AI assistant is not your refunds department. Keep a person in charge of:

Refunds, chargebacks and payment disputes.

Complaints where the customer is already upset.

Anything involving medical, legal or safety advice about your products.

Exceptions to your policies. The bot should state the policy, not bend it.

Set the assistant to hand these over: to your inbox, a contact form, or a live person if you have a team inbox. Our list of which support tickets AI should and shouldn’t handle is a good starting checklist.

How to set up a WooCommerce AI assistant

Here’s the process with Outview. Other tools follow a similar shape.

Tidy your product content first. The assistant can only be as accurate as your descriptions. Fill in sizes, materials, dimensions and compatibility. Make sure your shipping and returns pages are current.

Install the plugin and activate a Professional licence. WooCommerce skills are part of Professional and Agency, not Starter.

Connect your AI provider. You use your own account and pay the provider directly for usage.

Index your content. Include products, product categories, and your shipping, returns and FAQ pages.

Turn on the WooCommerce skills you want. Start with product questions and order status. Add cart recovery once you’re happy with the tone.

Test with real questions. Pull the last 30 customer emails and ask the assistant each one. Note anything it gets wrong, fix the source page, and test again.

Set the handoff. Decide where conversations go when the bot shouldn’t answer.

Most stores have a working assistant within an afternoon, and much of that time goes on step one. If you’d rather not do it yourself, Outview offers a done-for-you install and training service.

What does it cost?

There are two parts: the software and the AI usage.

Outview Professional: $99 once for 3 sites, or R1,999 in South Africa. Includes the WooCommerce skills, CRM integrations, bookings, proactive campaigns and 50+ languages.

AI usage: billed by your provider per conversation, at their published rates. It depends on the model and how long the answers are. Check your provider’s dashboard after the first week to see your real cost.

For comparison, WPBot’s WooCommerce module starts on its Professional plan at $279 lifetime or $99 a year, and AI Engine offers WooCommerce function calling in its Pro version from $79 a year. Hosted tools such as Tidio charge monthly subscriptions plus AI add-ons. We break those options down in our Outview vs WPBot and Outview vs AI Engine comparisons, and the 3-year cost calculator lets you run your own numbers.

How to tell if it’s working

Don’t judge it by how clever the replies sound. Judge it by what changes in your store. Track these for a month before and a month after:

“Where’s my order” emails: do they drop?

Cart abandonment rate: visible in WooCommerce analytics and Google Analytics.

Conversion rate for chat users vs non-chat users: are shoppers who chat more likely to buy?

Unanswered questions: review the chat log weekly. Every question the bot couldn’t answer points to a gap in your product pages, and those gaps can cost you search visibility too.

That last point is underrated. Your chat log becomes free customer research: the exact words people use, the details they can’t find. Adding those answers to your product pages helps shoppers, Google, and AI search tools that summarise stores. It’s the same work we do in AI Visibility (GEO).

Common mistakes

Switching it on with thin product descriptions. If your descriptions are two lines long, the assistant has nothing to work with. Fix content first.

Letting it answer from general knowledge. A bot that guesses will eventually promise a delivery date or a feature you don’t offer. Use one that answers from your own content and shows sources.

Aggressive cart popups. Firing a discount the moment someone adds an item trains shoppers to wait for discounts. Trigger on genuine hesitation instead.

No human fallback. Every assistant hits questions it shouldn’t answer. Make the route to a person obvious.

Ignoring speed. A slow store can lose more sales than a chatbot wins back. Check Google PageSpeed Insights before and after installing, especially on mobile.

Timing: set it up before Black Friday, not during

If you’re reading this in October, you have a window. Black Friday and the festive rush bring your highest traffic and your heaviest support load at the same time, which is the worst moment to be testing a new tool. Install the assistant now, run it through the quieter weeks before the rush, fix the gaps in your product pages that the chat log reveals, and go into peak season with an assistant that already knows your store. Our Black Friday prep guide covers the rest of the checklist.

A note for South African stores

South African shoppers often prefer WhatsApp to website chat. Outview’s Agency licence adds WhatsApp, Messenger, Instagram and Telegram, so the same assistant can answer across channels. Rand pricing avoids forex charges, and conversations and leads stay in your own WordPress database, which helps with POPIA. We cover the local angle in AI chatbots for South African WooCommerce stores.

If your store itself needs work before you add an assistant, such as slow pages, a confusing checkout or thin product content, our e-commerce and WooCommerce team can help, and the free funnel audit shows where your store is losing sales.

WPBot vs Outview AI Chatbot compared on rule-based flows vs AI-first answers, lifetime and yearly pricing, WooCommerce and three-year cost, using WPBot's October 2026 prices.

The post Outview vs WPBot: Two Lifetime WordPress Chatbots Compared (2026) appeared first on Outview.

Short answer: WPBot is the better choice if you want scripted menus and decision-tree flows alongside AI, a free version to start with, or a lifetime licence covering 5 to 10 sites. Outview AI Chatbot is the better choice if you want an AI-first WordPress assistant that answers from your own content with sources, captures leads and is live in about 15 minutes, starting at $49 once for a single site. Both offer one-time pricing, so the decision comes down to how you want the bot to work, not whether you pay monthly. Setup is similar for both; our guide on how to add an AI chatbot to WordPress walks through it.

We make Outview, so we have an interest here. We’ve written this to be fair anyway. WPBot’s prices come from its own pricing page and its WordPress.org listing, checked on 6 October 2026, and where WPBot is better value, we say so.

Two different ideas of what a chatbot is

WPBot has been around since before large language models went mainstream, and its roots show. It started as a rule-based bot: menus, buttons, keyword responses and conversational forms that walk a visitor down a set path. AI came later and now sits alongside those flows, with support for OpenAI, Gemini, Claude and OpenRouter, plus a vector knowledge base.

Outview was built the other way round. The AI reads your pages, posts and products, answers in natural language, and shows which page each answer came from. Forms, flows and campaigns exist, but the default experience is a visitor typing a question in their own words and getting a grounded answer.

Neither approach is wrong. A scripted flow is predictable, which matters if you need every visitor to answer the same five qualifying questions. An AI-first assistant copes better with the messy, unexpected questions real customers ask. If you’re not sure which you need, our explainer on how AI chatbots differ from rule-based bots covers it in more depth.

Where WPBot is the stronger choice

It has a free version. WPBot Lite is on WordPress.org with more than 5,000 active installs, and it already includes FAQ responses, AI provider connections, a RAG knowledge base and simple lead collection. You can test it properly before paying. Outview has no free tier.

Good value in the middle. WPBot’s lifetime Starter gives you 5 sites for $149, and Professional covers 10 sites for $279. Outview jumps from 3 sites on Professional to 50 on Agency, so if you need somewhere between 4 and 10 sites, WPBot’s bundles fit more neatly.

Scripted flows are a strength. If you want buttons, menus and decision trees, WPBot has years of development behind them. Outview has a visual flow builder on Professional, but WPBot’s whole history is in this area.

Dialogflow support. If you’ve already built intents in Google Dialogflow, WPBot can use them. Dialogflow isn’t part of Outview’s feature set.

A yearly option. WPBot sells yearly plans from $39 if you’d rather not commit to a lifetime licence. Outview only sells one-time licences.

Where Outview is the stronger choice

The cheapest single-site lifetime licence. If you run one website, Outview Starter is $49 once. WPBot’s cheapest lifetime plan is $149, though it covers five sites.

WooCommerce for less. Outview’s WooCommerce skills (order status, product search, coupon checks, shipping questions and abandoned-cart recovery emails) come with the $99 Professional licence for 3 sites. WPBot’s WooCommerce module starts on its Professional plan at $279 lifetime or $99 a year.

Cheaper for agencies. Outview’s Agency licence covers 50 sites for $269 once, with WhatsApp, Messenger, Instagram and Telegram, white-label client management and a team inbox. WPBot’s 50-site Master plan is $369 lifetime.

Sources with every answer. Outview shows the page each answer came from, so you and your visitors can check it. That builds trust on pricing and policy questions, where a wrong answer costs you.

Quick to get live. Outview’s setup wizard connects your AI provider, picks a tone and theme and indexes your site, and most people are live in under 15 minutes. WPBot covers a lot of ground across its settings, add-ons and modules, so expect more to configure, especially if you combine flows with AI.

It keeps answering in an outage. If your AI provider goes down, Outview answers from your indexed content and labels the reply instead of going silent. WPBot’s scripted responses also keep working without AI, so this is a point both handle, in different ways.

Rand pricing and local payment. South African businesses pay R999, R1,999 or R4,500 with local payment options, and avoid forex charges on a US Dollar invoice.

What each costs over three years

Scenario one: a single business website. AI usage is billed by your provider with both, so it’s left out.

WPBot Starter yearly (1 site): $39 × 3 = $117.

WPBot Starter lifetime (5 sites): $149 once.

Outview Starter (1 site): $49 once.

Scenario two: an online store that needs WooCommerce features.

WPBot Professional yearly (2 sites): $99 × 3 = $297.

WPBot Professional lifetime (10 sites): $279 once.

Outview Professional (3 sites): $99 once.

Scenario three: an agency with 50 client sites and social channels.

WPBot Master lifetime: $369 once.

Outview Agency: $269 once.

WPBot’s prices exclude VAT and taxes, according to its pricing page. Want to model your own numbers? Try our 3-year chatbot cost calculator, or read our guide to chatbot pricing models.

Setup: what each feels like

WPBot: install the Lite plugin or upload Pro, then work through the settings: bot name and look, start menu, FAQ responses, AI provider and model, knowledge base training, and any add-ons such as conversational forms or WooCommerce. It’s thorough. Plan time to decide which questions go to scripted flows and which go to AI.

Outview: upload, paste your licence key, run the wizard, choose what to index, then test. If you want to skip even that, Outview offers a done-for-you install and training service.

Imagine you run an online pet supply store in Austin. A visitor asks, in their own words, whether your grain-free salmon kibble is okay for a puppy with a sensitive stomach. A scripted menu would need that exact path built in advance. A grounded AI assistant reads the product description and your feeding guide and answers, ideally with a link to the source and a nudge to check with a vet. That’s the practical difference between the two philosophies.

Feature by feature: what matters day to day

Lead capture

Both capture visitor details. WPBot collects email and phone callback requests and adds webhooks and mailing list integrations on Master. Outview captures name, email and phone on every licence, syncs to your inbox, and connects to FluentCRM, HubSpot, Pipedrive, Mailchimp and ActiveCampaign on Professional and Agency.

Bookings

Both can schedule appointments through Google Calendar on paid plans. Test the flow from a phone before you rely on it.

Languages

WPBot supports multiple languages and right-to-left scripts, with a multi-language module on Master. Outview includes 50+ pre-configured languages on Professional and Agency.

White label

WPBot Master includes white labelling. Outview Agency includes white-label client management for up to 50 sites. For agencies, both are viable, and Outview is cheaper at the 50-site tier.

Site speed

Run Google PageSpeed Insights before and after installing either plugin. Any chat widget adds weight, and your mobile score affects both rankings and sales.

Privacy and compliance

Both plugins are self-hosted, so conversations and leads stay in your WordPress database, while the text of each question is sent to whichever AI provider you connect. If you collect names, emails or phone numbers, POPIA applies in South Africa, and state privacy laws apply in the US. Tell visitors they’re talking to an AI assistant and link to your privacy policy.

Short answer: AI Engine is the better choice if you’re comfortable configuring things yourself and want a broad AI toolkit for WordPress: a chatbot, content and image generation, an editor copilot and an MCP server for AI agents, with a generous free version. Outview AI Chatbot is the better choice if you want a finished website assistant that answers from your own content, shows its sources and captures leads, set up in about 15 minutes, for a one-time $49. Our guide on how to add an AI chatbot to WordPress shows what those 15 minutes involve. The catch with AI Engine for business use is that answering from your own content needs Pro, which starts at $79 a year.

We make Outview, so read this with that in mind. We’ve tried to be useful anyway. Every AI Engine figure below comes from Meow Apps’ own pricing page and the WordPress.org plugin directory, checked on 6 October 2026, and we say plainly where AI Engine is ahead.

What AI Engine actually is

AI Engine, built by Meow Apps, is the most installed AI plugin in the WordPress directory, with more than 90,000 active installs and a 4.9-star rating from over 800 reviews. That popularity is earned. It’s actively maintained, it connects to almost every major AI provider, and it does a lot more than chat.

Think of it as a workshop. The free version gives you a customisable chatbot (popup, inline or full screen), content and image generation, an AI copilot inside the editor, and a WordPress MCP server so external AI agents can work with your site. Pro adds the pieces most businesses need for a customer-facing bot: embeddings and knowledge bases built from your content and PDFs, AI Forms, function calling into WordPress and WooCommerce, usage limits and cost monitoring.

Outview is a different kind of product. It does one job: sit on your website, answer visitors from your own pages, posts and products, and turn those conversations into leads. It’s narrower on purpose.

Where AI Engine is the stronger choice

You can start for free. If you want to experiment before spending anything, AI Engine’s free version is hard to beat. Outview has no free tier.

It does far more than chat. Writers use it to draft posts, generate images and rewrite content inside the editor. Developers use its MCP server and API. If you want one plugin for every AI task on your site, AI Engine covers ground Outview doesn’t try to.

Provider choice is excellent. AI Engine supports OpenAI, Anthropic, Google, Mistral, Perplexity, OpenRouter and others from one dashboard. If you like switching models to compare cost and quality, that flexibility is useful.

A big community and long track record. Ninety thousand installs means plenty of tutorials, forum threads and people who’ve already solved the problem you’re about to hit. Outview is newer and has fewer third-party reviews.

Developers can build almost anything. Function calling lets the AI trigger your own code. If you have a developer and a specific workflow in mind, AI Engine is a flexible base.

Where Outview is the stronger choice

Grounded answers are included, not an upgrade. A chatbot that answers from general AI knowledge will happily invent a delivery time or a refund policy you don’t have. With AI Engine, the knowledge base that prevents this sits in Pro. With Outview, every licence answers from your indexed content and shows the source, so you can check where an answer came from.

It’s finished out of the box. Outview’s setup wizard connects your AI provider, sets the tone and theme, and indexes your site. Most people are live in under 15 minutes. AI Engine can reach a similar result, but you assemble it: create the bot, build the embeddings, design the forms, write the instructions, test.

Lead capture is built in. Outview collects name, email and phone on every licence and sends them to your inbox. Professional and Agency connect to FluentCRM, HubSpot, Pipedrive, Mailchimp and ActiveCampaign. With AI Engine, you’d build that flow with AI Forms and your own integrations.

You pay once. AI Engine Pro is sold yearly ($79, $99 or $179) or as a lifetime licence starting at $499 for five sites, with support included for the first year. Outview is $49, $99 or $269 once, with no renewal.

It keeps answering in an outage. If your AI provider goes down, Outview answers from your indexed content and labels the reply, rather than going silent.

Rand pricing for South African businesses. Outview’s South African licences are R999, R1,999 and R4,500, with local payment options. AI Engine bills in US Dollars.

What each costs over three years

Scenario: one business website that needs the bot to answer from its own content. AI usage is billed by your provider with both plugins, so we’ve left it out of both totals.

AI Engine free: $0, but without a knowledge base built from your content. Fine for testing, risky on a sales page.

AI Engine Pro Starter (1 site): $79 × 3 = $237.

AI Engine Pro Standard (5 sites): $99 × 3 = $297, or $499 for the Standard lifetime licence.

Outview Starter (1 site): $49 once.

Outview Professional (3 sites, plus WooCommerce and CRM): $99 once.

AI usage depends on the model you pick and how long the answers are. Check your provider’s current rates and your usage dashboard after the first week. Our 3-year chatbot cost calculator lets you plug in your own numbers, and our guide to subscription vs lifetime chatbot pricing explains how each model adds up.

Setup: what each feels like

AI Engine: install the free plugin from WordPress.org, add your AI provider key, and create a chatbot in the settings. To make it answer from your own content, buy Pro, set up an embeddings environment, sync your posts and pages, then connect that knowledge base to the bot. Add AI Forms if you want structured lead capture. A technical user can do this in an afternoon. A non-technical owner may want help.

Outview: upload the plugin, paste your licence key, run the wizard. It asks for your AI provider, a tone, a theme and which content to index, then you test it. If you’d rather not touch it at all, Outview offers a done-for-you install and training service.

Imagine you run a physiotherapy practice in Cape Town. Someone lands on your site at 11 pm asking whether you treat sports injuries on Saturdays and whether medical aid covers it. Both plugins can answer that well, but only once they’ve been pointed at your own pages. The real difference is how much work it takes to get there.

Feature by feature: what matters day to day

Answer accuracy and sources

With a knowledge base connected, both plugins look up your content before answering, a method known as retrieval-augmented generation. We explain it in plain English in how RAG-grounded chatbots work. Outview shows the source page with each answer. Whichever you choose, test it with a question your site doesn’t answer and check that it admits it doesn’t know.

Online stores

AI Engine Pro’s function calling and WooCommerce tools give developers a lot of control. Outview’s Professional licence includes ready-made WooCommerce skills: order status, product search, coupon checks, shipping questions and abandoned-cart recovery emails with discount codes. If you have a developer, AI Engine’s flexibility is appealing. If you don’t, ready-made skills are quicker.

Channels and team

AI Engine focuses on the website and on cross-site embedding. Outview’s Agency licence adds WhatsApp, Messenger, Instagram, Telegram and SMS, plus a team inbox with human handoff and Slack notifications.

Languages

Both rely on the AI model to understand and reply in other languages. Outview’s Professional and Agency licences include 50+ pre-configured languages with a switcher in the chat header.

Site speed

Any chat widget adds weight to your pages. Run Google PageSpeed Insights before and after installing either plugin, and watch your mobile score.

Privacy and compliance

Both plugins are self-hosted, so settings and conversations live in your WordPress database, while the text of each question goes to the AI provider you connect. That’s better for data control than most hosted tools. Either way, if you collect names and emails in chat, privacy law applies: POPIA in South Africa and state privacy laws in the US. Tell visitors they’re talking to an AI assistant and link to your privacy policy.

Which should you choose?

Choose AI Engine if:

You want to experiment for free before spending anything.

You want content generation, images and an editor copilot as well as a chatbot.

You or your developer enjoy configuring and want maximum control.

Choose Outview if:

You want a website assistant that answers from your content and captures leads, without building it yourself.

You’d rather pay once than renew every year.

You run WooCommerce and want ready-made order and product skills.

You’re in South Africa and want Rand pricing.

Plenty of sites will happily run both: AI Engine for writing help in the editor, Outview for the visitor-facing assistant. They do different jobs.

Comparing more options? Our roundup of the best WordPress AI chatbot plugins covers WPBot, Tidio, ChatBot.com and Intercom as well, and our questions to ask before buying any AI chatbot work for any vendor.

Frequently asked questions

Is AI Engine free?

How much does AI Engine Pro cost?

According to Meow Apps in October 2026, yearly plans are $79 (1 site), $99 (5 sites) and $179 (20 sites). Lifetime licences start at $499 for 5 sites and include support for the first year.

Is there an AI Engine alternative with no yearly fee?

Yes. Outview AI Chatbot is a WordPress AI assistant you buy once from $49, with answers grounded in your own content on every licence. You pay your AI provider directly for usage.

Do both need an API key?

Yes. Both plugins connect to an AI provider account that you own and pay directly. Neither marks up your AI usage.

Intercom vs Outview AI Chatbot: seat and Fin resolution pricing, helpdesk features, data ownership and three-year cost compared, using October 2026 prices.

The post Outview vs Intercom: Do You Need a Helpdesk or a Website AI Assistant? appeared first on Outview.

Short answer: Intercom is a full customer service platform built for software companies and larger support teams, with an excellent AI agent called Fin. Outview AI Chatbot is a WordPress plugin built for small businesses that want AI to answer from their website and capture leads, for a one-time price. Intercom costs $29 to $132 per seat per month plus $0.99 per Fin resolution. Outview costs $49, $99 or $269 once, plus your own AI provider’s usage. If you have a support team and a SaaS product, look hard at Intercom. If you have a WordPress site and no support department, Intercom is probably more than you need, and our guide on how to add an AI chatbot to WordPress shows the simpler route.

We build Outview, so take that into account. Intercom’s numbers below come from its pricing page, checked on 2 October 2026.

Where Intercom is clearly stronger

Let’s be direct: for a company with a real support operation, Intercom is in a different league.

Fin is a very capable AI agent. It works across chat, email and help centre content, and Intercom has invested heavily in it.

A complete helpdesk. Shared inboxes, ticketing, workflows, a public help centre, reporting and SLAs.

In-app messaging. If you have a mobile or web app, Intercom can message users inside the product. Outview can’t.

Enterprise requirements. SSO, identity management and HIPAA support on the Expert plan.

Works with your existing helpdesk. Fin can run as a standalone agent on tools like Salesforce.

If your business looks like that, Outview isn’t trying to replace Intercom.

Where Outview makes more sense

Most small businesses don’t have a support department. They have a website, an owner, maybe an assistant, and a steady stream of the same questions. For them:

The cost is a different scale. $49 once for one site, versus a monthly seat plus per-resolution fees.

No usage-based surprises. Intercom’s Fin charges per resolution, so a busy month costs more. Outview’s licence never changes; your AI provider bills per use at their published rates with no markup from us.

WordPress-native. Outview installs as a plugin, reads your pages, posts and WooCommerce products directly, and is live in about 15 minutes.

Data on your server. Conversations and leads stay in your WordPress database.

Keeps working in an outage. If the AI provider is down, Outview answers from your indexed content instead of going silent.

Rand pricing for South Africa. R999, R1,999 or R4,500 once, with no Dollar subscription.

Three-year cost comparison

Scenario: one website, one person handling enquiries, about 100 AI-resolved conversations a month.

Intercom Essential: $29 × 36 = $1,044 for the seat, plus $0.99 × 100 × 36 = $3,564 in Fin resolutions. About $4,608.

Intercom Advanced: $85 × 36 = $3,060, plus $3,564. About $6,624.

Outview Starter: $49 once, plus AI provider usage.

These figures use list prices; Intercom may offer startup programmes or discounts, and AI usage costs vary by model. Run your own scenario with our 3-year chatbot cost calculator.

Two quick scenarios

A US project-management SaaS with 8 support agents. They need in-app messaging, ticketing, a help centre and SLAs. Intercom is the right tool. The seat costs are small next to the payroll they support.

A wedding venue outside Stellenbosch. Questions arrive at night and on weekends: capacity, catering, accommodation, available dates. The owner answers everything else personally. A WordPress chatbot grounded in the venue’s pages, with lead capture, does the job for R999 once.

Which should you choose?

Choose Intercom if:

You have a support team and a ticketing workflow.

You need in-app messaging for a software product.

You require SSO, SLAs or HIPAA support.

Choose Outview if:

You’re a small business on WordPress.

You want AI to answer website questions and capture leads.

You don’t want seat fees or per-resolution charges.

You want your data on your own server.

Feature by feature: what matters day to day

The AI agent

Intercom’s Fin is one of the most capable AI support agents available. It answers from your help centre and other content, and can work inside Intercom or on top of another helpdesk. Outview’s AI answers from your WordPress pages, posts and WooCommerce products and shows the source with each answer. For website Q&A, both do the core job; Fin goes much further into support workflows.

Pricing mechanics

Intercom combines seats and outcomes. Advanced includes 20 free Lite seats and Expert includes 50, which helps larger teams. Add-ons include Copilot at $29 per agent per month, Pro from $99 a month and Proactive Support Plus at $99 a month. Outview has three one-time licences, and the main ongoing cost is your AI provider’s usage.

Lead capture and CRM

Intercom is a full customer platform with its own contact database and many integrations. Outview captures name, email and phone on every licence and syncs to FluentCRM, HubSpot, Pipedrive, Mailchimp or ActiveCampaign on Professional and Agency.

Online stores

Outview Professional includes WooCommerce skills such as order status, product search, coupons, shipping answers and abandoned-cart recovery emails. Intercom is used by e-commerce brands too, usually larger ones with dedicated support staff.

Messaging channels

Intercom covers web chat, in-app messaging, email and more. Outview covers your website, with WhatsApp, Messenger, Instagram, Telegram and SMS on the Agency licence.

Team and reporting

Intercom’s inbox, workflows, SLAs and reporting are built for teams of any size. Outview’s Agency licence includes a team inbox with human handoff, agent roles, Slack notifications and a reporting suite with CSV export, which covers small teams and agencies managing client sites.

Privacy and compliance

Intercom’s Expert plan includes HIPAA support and SSO, which matters for regulated industries. If those requirements apply to you, that’s a strong reason to choose Intercom. With Outview, conversations and leads are stored in your own WordPress database, and each question is sent to the AI provider you connect to generate the answer. Either way, label the chat as an AI assistant and handle personal information in line with POPIA in South Africa or the US privacy rules that apply to you.

Questions to answer before you decide

Do you have a support team, or one or two people handling enquiries?

Do you need in-app messaging for a software product?

How many AI resolutions a month do you expect, and what does that cost at $0.99 each?

Do you need SSO, SLAs or HIPAA support?

Is your website on WordPress?

Moving from Intercom to a WordPress chatbot

Some small businesses start on Intercom because it’s the best-known name, then realise they’re paying for a helpdesk they barely use. If that’s you, here’s how to move without losing anything:

Export your data. Download conversation history and contacts from Intercom before you cancel.

Move help-centre articles to your website. If Fin was answering from Intercom help articles, publish that content as normal pages or an FAQ on your WordPress site. It helps your SEO too, because that content now lives on your own domain.

Install and index. Install Outview, run the setup wizard and let it read your site.

Test against your top questions. Use your most common Intercom conversations as the test set.

Switch the widget over and cancel Intercom at the end of your billing period.

The middle ground: what you lose and what you keep

Be clear about the trade. Moving to a WordPress plugin, you give up Intercom’s in-app messaging, advanced ticketing, SLAs and enterprise security features. You keep AI answers grounded in your content, lead capture, CRM sync on Professional and Agency, and human handoff on Agency. You gain a one-time price and data stored on your own server.

For a business whose “support team” is one person and a phone, that trade usually makes sense. For a growing software company, it usually doesn’t, and that’s fine.

A note on content and AI search

Whichever tool you use, the content your chatbot answers from is also what Google and AI assistants like ChatGPT read when deciding whether to recommend you. Clear pricing, specific service pages and a well-structured FAQ improve your chatbot, your rankings and your visibility in AI answers at the same time.

Frequently asked questions

How much does Intercom cost for a small business?

Seats cost $29, $85 or $132 per month on annual billing, and the Fin AI agent costs from $0.99 per resolution on top. One seat on Essential with 100 resolutions a month comes to about $128 a month at list price.

What is Intercom Fin?

Fin is Intercom’s AI agent. It answers customer questions using your help content and is billed per resolution, from $0.99 each.

Is there a cheaper alternative to Intercom for WordPress?

Yes. Outview AI Chatbot is a WordPress plugin from $49 once, with AI usage billed by your own provider. It doesn’t replace Intercom’s full helpdesk, but it covers website Q&A and lead capture.

Does Outview have a help centre or ticketing?

It has chat history, a sources dashboard and, on Agency, a team inbox with human handoff. It isn’t a full helpdesk like Intercom.

Can I try Intercom for free?

Intercom offers a free trial. Outview doesn’t have a free tier, but offers a 14-day money-back guarantee if you haven’t gone live.

Key takeaways

Intercom is a premium platform for SaaS companies and support teams.

Its seat-plus-resolution pricing adds up fast for small businesses.

Quick answer: an AI chatbot for a small business is an assistant on your website that answers customer questions from your own content, at any hour, and collects contact details when someone wants a person to follow up. Done well, it takes the repetitive questions off your plate and catches leads that would otherwise leave without saying a word. It costs anything from a one-time licence plus a modest monthly AI bill to a few hundred dollars a month for hosted platforms, and a simple setup can go live in about 15 minutes. It should never handle complaints, refunds or anything that needs judgement. Those go to you.

This guide is for owners and marketers of small businesses in South Africa, the US and elsewhere who want a straight answer on whether a chatbot is worth it, what it really does, what it costs, and where its limits are. We build and sell one, so we’ll be clear about where it fits and where it doesn’t.

What an AI chatbot actually does for a small business

Strip away the marketing and a good small-business chatbot does four jobs.

Answers questions from your own content. Prices, services, hours, areas you cover, delivery times, policies. A modern AI chatbot reads your website and answers in plain language, instead of following a rigid menu. If you want the mechanics, our explainer on what an AI chatbot is and how it works covers it.

Captures leads. When a visitor wants a quote or a call back, it collects a name, email and phone number and sends them to you straight away. Here’s how lead capture works in practice.

Works when you don’t. Evenings, weekends, public holidays and the hours you spend on site with customers.

Shows you what people want to know. The conversation log is a running list of the questions your website isn’t answering clearly. That alone is worth having.

What it doesn’t do is replace you. It’s closer to a well-briefed receptionist who knows everything that’s written down and knows when to take a message.

Where a chatbot earns its keep

Picture a potential customer landing on your site at 11 pm. They want to know if you service their suburb and roughly what a job costs. Your contact page says “we’ll get back to you within 24 hours”. Most people won’t fill in that form. They’ll open the next tab and ask your competitor. We wrote about this pattern in why most website visitors never ask a question.

A chatbot changes that moment. The visitor gets an answer now, and if they want a quote, the chatbot takes their details. You wake up to a lead instead of a missed visit.

The other big win is time. Most small businesses answer the same ten questions over and over, by phone, email and WhatsApp. Every one of those answered by the chatbot is a few minutes back in your day. For a one- or two-person business, that adds up quickly.

What an AI chatbot should hand to a human

This is the part most vendors skip, and it’s the part that protects your reputation. A chatbot should pass these to a person every time:

Complaints and unhappy customers. Someone who is upset needs to feel heard by a human, not processed by software.

Refunds, disputes and exceptions. Anything outside your standard policy needs your judgement.

Custom quotes. The chatbot can collect the details. It shouldn’t commit you to a price.

Legal, medical or financial advice. If you’re a law firm, practice or adviser, set firm rules so it gives general information only and books a consultation for anything specific.

Anything it can’t find on your site. A good chatbot says “I don’t know, but I can take your details” instead of guessing.

For a fuller breakdown, see which support tickets AI should and shouldn’t handle. If more than one person needs to pick up conversations live, you’ll want a shared inbox and human handoff, which we cover in team inbox and human handoff.

What an AI chatbot costs a small business

Chatbot pricing comes in three main shapes, and the shape matters more than the starting price.

Monthly subscriptions. Hosted platforms charge per month, often with extra fees per user or per AI-answered conversation. Easy to start, but the bill grows as you get busier.

Yearly licences. Some WordPress plugins charge an annual fee for updates and support.

One-time licences. You pay once for the software and pay an AI provider directly for usage. Outview works this way: $49 (R999) for one site, $99 (R1,999) for three, $269 (R4,500) for up to 50.

Whichever route you take, remember the AI usage. With plugins that use your own key, you pay the provider, such as OpenAI or Google, based on how many conversations you have. For a typical small business site that’s usually a modest amount, but it isn’t zero, and anyone who tells you it is isn’t being straight with you. South African readers can find Rand figures and local considerations in how much an AI chatbot costs in South Africa.

How fast can a small business go live?

Faster than most people expect. On WordPress, the basic setup is: install a plugin, connect an AI provider, let it read your site, set its tone and rules, test it, and switch it on. That’s about 15 minutes for a typical small-business site. Our step-by-step guide on how to add an AI chatbot to WordPress walks through each step.

The real work happens in the first week. Read the conversations, spot the questions it answered poorly, and fix the pages those answers came from. Most of the “bad answers” we see trace back to outdated information still published somewhere on the site.

Does your business actually need one?

Not every business does. Here’s an honest way to decide.

A chatbot is probably worth it if your website gets steady traffic, you answer the same questions repeatedly, enquiries come in after hours, or you sell online and get lots of “where’s my order” and “do you have this in stock” messages.

It’s probably not worth it yet if your site gets very few visitors, most of your sales happen through referrals and phone calls, or your website content is thin and out of date. Fix the website first. A chatbot can only be as good as the information it reads.

How different small businesses use AI chatbots

The core jobs stay the same, but the questions change by industry.

Trades and home services: service areas, call-out fees, emergency availability and quote requests. See AI chatbots for plumbers, electricians and contractors.

Estate agents: listing questions, viewing requests and capturing buyer and seller details at night and on weekends. More in AI chatbots for real estate agents.

Clinics and veterinary practices: hours, services, emergency procedures and appointment requests, with strict rules against giving clinical advice. Our veterinary practice example shows how.

Professional services: consultants, accountants and law firms use chatbots to explain services and fees, then book a consultation for anything specific.

For a South African view across sectors, read AI chatbots for South African businesses: what works in 2026.

AI chatbot vs the alternatives

A chatbot isn’t the only way to handle website enquiries. It’s worth comparing honestly.

Live chat with a person: warmer, but only works while someone is watching. Many businesses combine the two. See AI chatbot vs a basic live chat plugin.

An after-hours answering service: a real voice on the phone, at a monthly cost and usually without access to your full website information. Compared in AI chatbot vs an after-hours answering service.

WhatsApp Business: excellent for customers who already know you, but it’s manual unless you automate it. Our comparison of WhatsApp Business vs an AI chatbot explains the difference.

A good FAQ page: still worth having. It also gives your chatbot better material to answer from.

What about WhatsApp?

For many South African businesses, WhatsApp is where customers already are. Some chatbots, including Outview on its Agency licence, can answer on WhatsApp, Messenger, Instagram and Telegram as well as your website, using the same knowledge base. If that matters to you, read connecting your AI chatbot to WhatsApp and other channels before you choose a tool, because not every product or plan includes it.

Common mistakes small businesses make

Expecting it to fix a weak website. If your pages don’t answer a question, the chatbot can’t either.

No clear handoff. A hot lead that can’t reach a person is a wasted conversation.

Letting it make promises. Set rules for prices, delivery dates and refunds.

Never reading the conversations. The log is free market research. Use it.

Choosing on price alone. A cheap monthly plan can become expensive as you grow, and a one-time licence still has AI usage costs. Look at three years, not three months.

Picking a chatbot that guesses. Choose one that answers from your content and admits when it doesn’t know. Here’s why AI chatbots make things up and how to avoid it.

How to tell if it’s working

Skip vanity numbers like “messages sent”. Track these instead:

Leads captured per month, and how many became paying customers.

How many conversations happen outside business hours.

Which questions come up most, and whether answers improved after you updated those pages.

How many phone calls and emails you get for questions the chatbot now answers.

Give it a month before you judge it. The first week is mostly tuning.

Frequently asked questions

Is an AI chatbot worth it for a small business?

It usually is if your website gets steady traffic, you answer the same questions repeatedly or enquiries arrive after hours. It’s usually not worth it yet if your site gets very few visitors or its content is thin and outdated.

How much does an AI chatbot cost for a small business?

Will an AI chatbot replace my staff?

No. It handles repetitive questions and captures leads so your team spends more time on work that needs a person: complaints, quotes, sales conversations and anything unusual.

What should a chatbot never handle?

Complaints, refunds and disputes, custom pricing, and specific legal, medical or financial advice. It should pass these to a person and collect contact details.

How long does it take to set up?

On WordPress, about 15 minutes for the basic setup on a typical small-business site, followed by a week of checking conversations and improving answers.

Key takeaways

Short answer: ChatBot.com is a mature, hosted chatbot builder that suits teams who want a visual flow designer and don’t mind paying per user every month. Outview AI Chatbot is a WordPress plugin you buy once, built for small businesses that want AI to answer from their own website and capture leads. The key number: ChatBot.com’s Essential plan is $19 per user per month (billed annually) and includes 10 AI resolutions a month. Outview starts at $49 once, with AI usage billed by your own provider.

Outview is our product. We’ve kept this comparison fair by using ChatBot.com’s own published pricing (checked 2 October 2026) and by pointing out where it does things better. If you go the plugin route, our guide on how to add an AI chatbot to WordPress covers setup step by step.

Where ChatBot.com is the stronger choice

A mature visual builder. ChatBot.com has been refining its drag-and-drop flow designer for years. If you want to design detailed conversation paths with branches, conditions and integrations, it’s very capable.

Channels on every plan. Website, WhatsApp, Messenger and SMS are included across plans. With Outview, messaging channels come with the Agency licence.

Works on any platform. ChatBot.com runs on WordPress, Shopify, custom sites and more. Outview is WordPress-only.

Part of a wider suite. It’s made by the company behind LiveChat, so if your team already uses LiveChat, the two fit together naturally.

Fully managed. Hosting, AI and updates are handled for you. No API keys.

Where Outview is the stronger choice

No per-user fees. ChatBot.com charges per user. Two people logging in on Growth costs $158 a month on annual billing. Outview’s licence price doesn’t change with headcount.

No AI resolution cap. ChatBot.com Essential includes 10 AI resolutions a month. For a business getting even a handful of chat questions a day, that runs out in the first week. Growth raises it to 200. Outview doesn’t cap AI answers; you pay your provider for what you use.

One payment. $49, $99 or $269 once, depending on how many sites you need. South African businesses pay R999, R1,999 or R4,500 in Rand.

Data ownership. Conversations and leads stay in your WordPress database rather than on a third-party platform.

Resilience. If your AI provider has an outage, Outview falls back to answering from your indexed content.

Three-year cost comparison

Scenario: one website, one person checking chats, around 100 AI-answered questions a month.

ChatBot.com Essential: $19 × 36 = $684, but only 10 AI resolutions a month are included, which won’t cover 100.

ChatBot.com Growth (200 resolutions/month): $79 × 36 = $2,844 for one user.

Outview Starter: $49 once, plus AI provider usage for about 3,600 conversations.

AI usage costs depend on the model and answer length, so check your provider’s current rates. Our 3-year chatbot cost calculator runs the comparison with your own numbers.

A realistic scenario

Imagine you run a small accounting practice in Cape Town. Most chat questions are variations of ten things: fees for a tax return, what documents to bring, whether you handle SARS disputes, your hours, your location. You and one assistant check enquiries.

On ChatBot.com Growth, two users cost $158 a month. On Outview Starter, you pay R999 once and your AI provider’s usage. Both would answer those ten questions well, because both can read your website. The difference is entirely in how you pay, and where the conversations are stored.

Now imagine a 15-person e-commerce support team that needs complex routing, a visual flow builder and SMS on every plan. ChatBot.com starts to make more sense there.

Which should you choose?

Choose ChatBot.com if:

You want a detailed visual flow builder.

Your site isn’t on WordPress.

You need WhatsApp and SMS on an entry-level plan.

You’d rather have everything hosted and managed.

Choose Outview if:

Your site runs on WordPress.

More than ten AI answers a month is normal for you.

You don’t want per-user or per-month fees.

You want customer data on your own server.

For more options, read our comparison of WordPress AI chatbot plugins or the Outview vs Tidio breakdown.

Feature by feature: what matters day to day

Building the bot

ChatBot.com is built around a visual builder: you design conversation flows with blocks, branches and conditions, and add an AI agent on top. That’s powerful but takes time to learn. Outview takes the opposite approach: a setup wizard, then the bot reads your website and answers from it. Professional adds a visual Flow Builder with A/B testing for when you do want scripted paths.

AI features

On ChatBot.com, AI capacity is set per plan. Essential includes one AI agent, 10 AI resolutions a month, 5 reply suggestions and 5 AI text edits. Growth includes 10 AI agents, 200 resolutions, chat summaries and ticket summaries. With Outview, the licence doesn’t limit AI answers; you choose the model and pay your AI provider for usage.

Answer accuracy and sources

Both can answer from your own content. Outview shows the source page with each answer and keeps a sources dashboard, so you can see which pages the bot relies on most. That’s also a useful content audit: pages that never get used may need rewriting.

Lead capture and CRM

ChatBot.com includes live chat, ticketing and workflow automation on all plans, and integrates with a range of tools. Outview captures leads on every licence and, on Professional and Agency, syncs them to FluentCRM, HubSpot, Pipedrive, Mailchimp or ActiveCampaign.

Online stores

Outview’s Professional licence includes WooCommerce skills: order status, product search, coupons, shipping questions and abandoned-cart recovery emails. ChatBot.com supports e-commerce platforms including Shopify, which is the better route if you’re not on WordPress.

Messaging channels

ChatBot.com includes website, WhatsApp, Messenger and SMS across its plans, a genuine advantage at the entry level. Outview includes WhatsApp, Messenger, Instagram, Telegram and SMS on the Agency licence ($269 once, 50 sites).

Site speed

Hosted widgets load scripts from the vendor’s servers on every page. Test any chatbot with Google PageSpeed Insights before and after installing, on mobile especially.

Privacy and data ownership

With ChatBot.com, conversations live on the vendor’s platform under their terms and data processing agreement. With Outview, conversations and leads are stored in your WordPress database, while each question is sent to the AI provider you connect to generate the answer. Whichever you choose, label the chat as an AI assistant, link to your privacy policy, and handle personal information in line with POPIA in South Africa or the privacy laws that apply to you in the US.

Questions to answer before you decide

How many people on your team need to log in? Multiply the per-user price accordingly.

How many questions does your site get a month, and will 10 or 200 AI resolutions cover it?

Do you want to design flows visually, or have the bot learn from your website?

Is your site on WordPress?

Do you need WhatsApp or SMS on day one?

Your first 30 days with either tool

Whichever you pick, the first month decides whether the chatbot earns its place. Here’s the routine we use with clients:

Day 1: test with real questions. Pull the last 20 questions from your inbox and WhatsApp and ask them word for word. Note every weak answer.

Days 2–3: fix the content, not the bot. Most weak answers trace back to a vague or missing page. Add the missing detail to your website and let the bot re-read it.

Week 1: read every transcript. You’ll see questions you never knew people had. Each one is a content idea and, often, a reason people weren’t converting.

Week 2: tune lead capture. Ask for contact details at the right moment, after the bot has been helpful, not as a gate before it answers.

Week 4: check the numbers. On ChatBot.com, see how close you are to your monthly AI resolution limit. On Outview, check your AI provider’s usage dashboard. Then compare chats, leads and cost per lead against your old contact form.

Do this and the tool you chose matters less than you’d think. Skip it and even the best chatbot will underperform.

When it makes sense to use both

Some businesses run a hosted platform for one job and a WordPress plugin for another. A franchise might use ChatBot.com centrally for WhatsApp and SMS across all branches, while individual branch websites on WordPress run Outview for local questions and lead capture. If your needs split cleanly like that, there’s no rule that says you must pick one.

Frequently asked questions

No permanent free plan. There’s a 14-day free trial with no credit card required.

Short answer: the quickest way to add an AI chatbot to WordPress is to install a chatbot plugin, connect it to an AI provider with an API key, let it index your pages, set its tone and limits, test it privately and then switch it on. On a typical small-business site that takes about 15 minutes. The part that decides whether it’s any good comes before and after: how clear your site content is, and how carefully you test the first week of real conversations.

This guide walks through the whole job. It covers the three ways to put a chatbot on a WordPress site, what to prepare, each setup step, what it costs to run, and the mistakes that make a new chatbot look worse than it should. It’s written for business owners and marketers, not developers. If you can install a plugin, you can do this.

The three ways to add a chatbot to WordPress

Before you install anything, decide which kind of chatbot you’re adding. They look similar on the page, but they work very differently behind the scenes.

1. A hosted chatbot service with a WordPress connector

Tools like Tidio, Intercom and ChatBot.com run on their own servers. You add them to WordPress with a small connector plugin or a snippet of script, then manage everything in their dashboard. They’re strong on shared team inboxes and multi-channel support. The trade-off is a monthly subscription that usually rises with conversation volume or seats, and your chatbot’s knowledge lives in their system rather than on your site. Our Outview vs Tidio comparison shows how that plays out in practice.

2. A native WordPress chatbot plugin

A native plugin runs inside your WordPress install. It reads your pages, posts and (depending on the plugin) WooCommerce products directly, and you connect it to an AI provider using your own API key. AI Engine, WPBot and Outview AI Chatbot all work this way, although their features and pricing differ a lot. If you’re still choosing, our honest comparison of WordPress AI chatbot plugins sets them side by side.

3. A custom build

A developer connects an AI model to your content with their own code, often with a separate vector database. You get full control and you pay for it, both upfront and every time something needs maintaining. For most small and mid-sized businesses this only makes sense when the chatbot has to do something unusual, like pulling from an internal system no plugin supports.

The rest of this guide focuses on option two, because that’s what “add a chatbot to WordPress” means for most site owners. Most of the preparation and testing advice applies to all three.

Photo by Roberto Cortese on Unsplash

Before you start: a 10-minute checklist

An AI chatbot answers from what’s on your site. If your opening hours are wrong on one page, it will repeat the wrong hours, politely and with confidence. A little preparation saves you from that.

Admin access and a backup. You’ll need to install a plugin, and a fresh backup before any install is a good habit.

Your key facts, checked. Prices, service areas, hours, delivery times, returns policy. Find every page that mentions them and make sure they agree.

A plain FAQ page, if you don’t have one. Ten honest answers to the questions you get on the phone give the chatbot clean material to work from.

A decision on handoff. Which questions should go to a person? Quotes, complaints and anything legal or medical are common choices.

An AI provider account. You’ll need an API key from a provider such as OpenAI or Google Gemini. Setting one up takes a few minutes if you don’t have one.

Step-by-step: adding an AI chatbot to WordPress

1. Install
the plugin

2. Connect
an AI provider

3. Index
your content

4. Set tone
and boundaries

5. Test
privately

6. Go live
and review

The steps below follow the Outview AI Chatbot setup wizard, because that’s the one we know inside out. Other native plugins follow a similar order, with different screens. For a screen-by-screen account, see what actually happens in the first 15 minutes of setup.

Step 1: Install and activate the plugin

Free plugins install from Plugins → Add New Plugin in your dashboard. Premium plugins usually arrive as a .zip file, which you add through Plugins → Add New Plugin → Upload Plugin, then activate and enter your licence key. No server changes, no code. If you’d rather not touch WordPress at all, whoever manages your website can do this part in a couple of minutes. You don’t need to be technical to run it afterwards, as we explain in do I need to be tech-savvy to run an AI chatbot?

Step 2: Connect an AI provider

The plugin is the shell. The language model that writes the answers comes from an AI provider, and you connect it by pasting in an API key. Outview supports Google Gemini, OpenAI, Groq, Mistral, Grok, OpenRouter and self-hosted Ollama. Most businesses start with Gemini or OpenAI because they’re simple to set up and handle everyday customer questions well.

One thing to understand clearly: you pay the provider for usage, separately from the plugin. That’s true of every native plugin that uses your own key. For a small business site the bill is usually modest, but check your provider’s billing settings and set a spending limit or alert if one is available. Ollama avoids per-message charges because the model runs on a server you control, but you need that server and someone to look after it.

Step 3: Let it index your content

Next, the plugin reads your pages and posts and builds a knowledge base from them. On the Professional and Agency licences it also reads WooCommerce products and custom post types. When a visitor asks a question, the chatbot finds the most relevant parts of your site and answers from them. That approach, called retrieval-augmented generation, is what keeps a good chatbot from inventing things. We explain it in plain English in what an AI chatbot is and how it works.

Indexing time depends on how much content you have. A 20-page service site is quick; a store with thousands of products takes longer. When you update a page later, the chatbot picks up the change. You don’t retrain anything by hand, which is covered in keeping your AI chatbot’s answers current.

Step 4: Set the tone and the boundaries

This is a short form, but don’t rush it. Choose how formal the chatbot should be and add a few clear dos and don’ts. Good examples:

“Never quote a final price for custom work. Offer to take contact details for a quote.”

“If someone asks about a complaint, apologise and collect their details for a call back.”

“Use South African English and quote prices in Rand.” (Or US English and dollars, depending on your market.)

Then switch on lead capture so the chatbot can collect a name, email and phone number when a visitor wants a person to follow up. How lead capture works explains the notification flow. If a team needs to take over live conversations, that’s the shared inbox and human handoff on the Agency licence, described in voice chat, team inbox and human handoff.

Step 5: Test it privately before anyone else sees it

Ask it the twenty questions your customers actually ask. Use their wording, not yours: “do u deliver to Bellville”, “how much for a 3-bedroom”, “are you open on public holidays”. Then ask a few it shouldn’t answer, like a question about a service you don’t offer. A good chatbot says it doesn’t know and offers to take details. If it guesses, tighten the boundaries in step 4 or fix the page it got the wrong idea from.

Step 6: Choose a look and go live

Pick the widget colours, position and launcher icon to match your brand, then switch it on for visitors. After launch, check your mobile page speed. A well-built chatbot loads its widget without holding up the page, but it’s worth confirming on your own site; does an AI chatbot slow down my website? explains what to look for.

The first week after launch

Setup takes minutes. Getting the answers right takes a week of paying attention. Imagine you run a plumbing business in Cape Town and the chatbot goes live on a Monday. By Friday you’ll have a list of real questions, and three or four answers that were vague because the information was buried in a long service page.

That list is the most useful thing the chatbot gives you in week one. Read the conversations every day or two. Where an answer was weak, improve the page it came from, not just the chatbot setting. Check that lead notifications reach the right inbox. By the end of the week the chatbot will be noticeably sharper, and so will your website.

What it costs to run a WordPress AI chatbot

There are two costs to plan for. The first is the plugin or service itself. Hosted tools charge monthly. Many native plugins charge yearly, and a few sell lifetime licences. Outview is a one-time payment: Starter is $49 (R999) for one site, Professional is $99 (R1,999) for three sites, and Agency is $269 (R4,500) for up to 50 sites. Starter vs Professional vs Agency helps you pick the right licence.

The second cost is AI usage, paid to your provider. It rises with the number of conversations, so a busy store pays more than a quiet consultancy. Over three years, the gap between subscription and once-off pricing is usually bigger than people expect; we work through the numbers in chatbot cost: subscription vs lifetime licence.

Choosing an AI provider: a quick guide

OpenAI or Google Gemini: the sensible default for most businesses. Easy sign-up, good everyday answers.

Groq or Mistral: worth trying if response speed or cost matters most to you.

OpenRouter: one key that gives access to many models, which is handy if you like to compare.

Ollama (self-hosted): for businesses that want models running on their own server. More control, more work.

A note on privacy, especially for South African businesses thinking about POPIA. With a native plugin, conversations and leads are stored in your own WordPress database rather than on a third-party chatbot platform. To write an answer, though, the visitor’s question and the relevant parts of your content are sent to the AI provider you chose. Read your provider’s data terms, mention the chatbot in your privacy policy, and get proper advice if you handle sensitive information.

Common mistakes when adding a chatbot to WordPress

Going live without testing. The first real visitor shouldn’t be the first person to ask it a question.

Blaming the chatbot for outdated pages. Almost every wrong answer traces back to something old still published on the site.

No handoff path. A chatbot that can’t pass a hot lead to a person wastes the conversation.

Letting it promise things. Prices for custom work, delivery dates and refunds need clear rules.

Forgetting the AI bill. Set a spending limit or alert with your provider on day one.

Ignoring store features. If you run WooCommerce, check what the chatbot can do with live store data, such as order status and coupon checks. See which WooCommerce skills an AI chatbot can perform live.

When a WordPress plugin isn’t the right choice

Be honest with yourself here. If your site isn’t on WordPress, a WordPress plugin is out. If you have a large support team that lives in a shared inbox across email, social and chat all day, a hosted platform built around that workflow may suit you better, even at a monthly cost. And if your chatbot has to read from internal systems that no plugin connects to, a custom build may be worth the extra spend. For everyone else, a native plugin is the fastest and cheapest way to put a capable AI assistant on a WordPress site.

Frequently asked questions

How long does it take to add an AI chatbot to WordPress?

With a native plugin, about 15 minutes for installation, provider connection, indexing, tone settings and going live on a typical small-business site. Large stores take longer to index. Plan another week of light checking to refine answers.

Do I need a developer?

No. If you can install a WordPress plugin and fill in a form, you can set it up. If you’re not comfortable in WordPress generally, your web person can do the install.

Is the AI usage included in the plugin price?

Not with plugins that use your own API key, including Outview. You pay the AI provider separately for usage. For most small sites that’s a modest monthly amount, but it grows with conversation volume.

Will the chatbot make up answers?

A chatbot that answers from your indexed content is far less likely to invent things than a general chatbot. It’s not perfect, which is why you test it, set clear boundaries and keep your pages accurate.

Can it work with WooCommerce?

Yes. On Outview’s Professional and Agency licences it indexes products and can use live store data such as order status, product search and coupon checks.

Can I test it before visitors see it?

Yes. Test conversations yourself first and only switch the widget on for visitors when you’re happy with the answers.

Key takeaways

There are three routes: a hosted service, a native WordPress plugin or a custom build. For most WordPress sites the plugin is fastest and cheapest.

Setup is six steps: install, connect a provider, index, set tone and boundaries, test, go live. That’s about 15 minutes on a typical site.

Answer quality depends on your content. Fix outdated pages before launch.

Budget for two costs: the plugin or service, and AI usage paid to your provider.

The first week of reading real conversations matters more than the install.

Ready to add one to your site?

Outview AI Chatbot is a WordPress AI assistant you buy once, with a 14-day money-back guarantee before you go live. It installs like any plugin and answers from your own site content. See the Outview WordPress AI chatbot and pricing.

Short answer: Tidio is the better choice if real people on your team will answer live chats and you want a polished hosted inbox with a mobile app. Outview AI Chatbot is the better choice if you run a WordPress site, want the AI to handle most questions on its own, and would rather pay once than pay every month. Over three years, Tidio Starter with its Lyro AI add-on lists at about $2,040; Outview starts at $49 once plus your own AI usage.

We make Outview, so we have an obvious interest here. We’ve written this to be useful anyway: every Tidio figure comes from Tidio’s own pricing page, checked on 2 October 2026, and we say where Tidio is stronger. If you settle on a WordPress plugin, our guide on how to add an AI chatbot to WordPress walks through setup.

Where Tidio is the stronger choice

Live chat is its home turf. Tidio started as a live chat tool and it shows. The operator inbox, mobile apps, live visitor list and ticketing are polished. If your staff will be chatting with customers in real time during business hours, Tidio is built for that.

It works beyond WordPress. If you’re on Shopify, Wix or a custom site, Tidio installs easily. Outview is a WordPress plugin and only works on WordPress.

No API keys to manage. Tidio bundles the AI. You never open an OpenAI account. For non-technical owners, that simplicity is worth something.

A genuine free plan. Tidio’s free tier includes 50 billable conversations a month and 10 seats. Outview has no free tier.

Where Outview is the stronger choice

You pay once. Outview is $49 (1 site), $99 (3 sites) or $269 (50 sites), one time. In South Africa it’s R999, R1,999 or R4,500. There’s no monthly invoice to remember and no annual renewal.

AI volume doesn’t move you up a tier. On Tidio’s Free and Starter plans, Lyro’s 50 AI conversations are one-off, not monthly. After that you buy the Lyro add-on, which starts at $32.50 a month for 50 conversations. With Outview you pay your AI provider per use at their published rates, with no markup from us.

Your data stays on your server. Conversations and leads sit in your WordPress database. If privacy matters to your clients, or you simply don’t want customer data on another company’s platform, that’s a real advantage.

It keeps answering in an outage. If the AI provider goes down, Outview answers from your indexed content and labels it, instead of going silent.

No forex surprises for South African businesses. Tidio bills in US Dollars. Outview’s South African licences are priced in Rand, with EFT available.

The three-year cost comparison

Scenario: one website, AI answering most questions, around 50 AI conversations a month.

Tidio Starter + Lyro add-on: $290 × 3 years = $870, plus $32.50 × 36 months = $1,170. About $2,040.

Tidio Growth + Lyro add-on: from $590 × 3 = $1,770, plus $1,170. About $2,940.

Outview Starter: $49 once, plus your AI provider’s usage charges for roughly 1,800 conversations.

Your AI usage cost depends on the model you choose and how long the answers are. Check your provider’s current rates and your usage dashboard after the first week. Our 3-year cost calculator lets you plug in your own numbers, and our guide to chatbot costs explains every pricing model.

Setup: what each feels like

Tidio: create an account, install the WordPress plugin or paste a script, design the widget, then train Lyro by adding FAQs or letting it read your site. Most people have a working chat widget within an hour.

Outview: upload and activate the plugin, paste your licence key, then run the setup wizard: connect your AI provider, choose a tone and theme, and point the bot at your pages, posts and products. Most sites are live in under 15 minutes. The extra step is creating an AI provider account if you don’t have one.

Which should you choose?

Choose Tidio if:

Staff will answer live chats during the day and you want strong mobile apps.

Your site isn’t on WordPress.

You want everything hosted and don’t want to manage an AI account.

Choose Outview if:

Your site runs on WordPress and you want the AI to handle most questions.

You’d rather pay once than subscribe.

You want conversations and leads stored on your own server.

You’re in South Africa and want Rand pricing and WhatsApp options.

Comparing more than two tools? Our roundup of WordPress AI chatbot plugins covers AI Engine, WPBot, ChatBot.com and Intercom too.

Switching from Tidio to Outview

If you’re already on Tidio and paying for Lyro, switching takes about an hour:

Export any conversation history you want to keep from Tidio.

Install Outview and let it index your site. It reads your existing pages, so you don’t need to rebuild your FAQ.

Test it on your top 20 customer questions, especially pricing and policies.

Remove the Tidio widget so visitors don’t see two chat bubbles, then cancel your Tidio plan at the end of its billing period.

Feature by feature: what matters day to day

Answer accuracy and sources

Both tools answer from your content rather than the open internet. Tidio’s Lyro learns from your knowledge base and website. Outview indexes your pages, posts and WooCommerce products and shows the source with each answer, which makes it easy for you to check where an answer came from. Whichever you choose, test it with questions that aren’t on your site and make sure it admits it doesn’t know.

Lead capture and CRM

Tidio collects visitor details and feeds them into its own inbox and contact list, with integrations available. Outview captures name, email and phone on every licence and syncs leads to your inbox. On Professional and Agency it connects to FluentCRM, HubSpot, Pipedrive, Mailchimp and ActiveCampaign.

Languages

Tidio includes multilanguage support from its free plan. Outview includes 50+ languages, pre-configured, on the Professional and Agency licences.

Online stores

Both support e-commerce. Outview’s Professional licence adds WooCommerce skills: order status, product search, coupons, shipping questions and abandoned-cart recovery emails. Tidio supports WooCommerce, Shopify and other platforms, which matters if you’re not on WordPress.

Bookings and proactive messages

Outview Professional includes appointment booking with Google Calendar sync and proactive campaigns triggered by exit intent, scroll depth or cart abandonment. Tidio offers Flows for automated messages, sold as part of plans or as a standalone add-on starting at $24.17 a month.

Team features

This is Tidio’s strength. Its Growth plan adds automatic chat assignment, macros and user permissions, and Plus adds departments and a dedicated success manager. Outview’s Agency licence includes a team inbox with human handoff, agent roles, Slack notifications and a full reporting suite, but it isn’t trying to be a full helpdesk.

Site speed

Any chat widget adds some weight to your pages. Hosted widgets like Tidio’s load scripts from the vendor’s servers; Outview loads from your own site. Either way, run Google PageSpeed Insights before and after installing, and keep an eye on mobile scores, which affect both rankings and sales.

Privacy and compliance

If you collect names, emails and phone numbers through chat, privacy law applies: POPIA in South Africa, and state privacy laws plus sector rules in the US. With Tidio, your customer data is processed by Tidio as your service provider, so their terms and data processing agreement matter. With Outview, conversations and leads are stored in your own WordPress database, while the text of each question is sent to the AI provider you connect. In both cases, tell visitors they’re chatting with an AI assistant and link to your privacy policy.

Questions to answer before you decide

Will anyone on your team be answering chats live, or should the AI handle most of it?

Is your site on WordPress, and will it stay there?

How many AI-answered conversations do you expect a month, and what does that cost on each model?

Do you need WhatsApp, Messenger or Instagram from day one?

Where do you want customer conversations stored?

A quick test you can run today

Before choosing, open your own website and write down five questions customers ask most. Then ask both tools exactly those questions during a trial or demo, and one extra question your website doesn’t answer. Score each reply: correct, partly correct, or wrong. The bot that gets your real questions right, and admits what it doesn’t know, is the one to choose, whatever the price.

Frequently asked questions

Short answer: an AI chatbot is software that holds a written or spoken conversation with people, using a large language model (LLM) to understand questions and write replies in natural language. That makes it different from an older rule-based chatbot, which can only follow scripted menus and keywords. The best business chatbots today combine the two ideas: they use AI to understand the question, but answer only from the company’s own content (a method called retrieval-augmented generation, or RAG), so they don’t make things up.

Chatbots in one minute

The word “chatbot” covers everything from a Facebook menu that says “Press 1 for opening hours” to ChatGPT. For a business owner, there are really three types:

Type

How it works

Good at

Weak at

Rule-based

Buttons, menus, keyword triggers, decision trees

Predictable tasks: bookings, FAQs with fixed answers

Anything phrased differently from the script

General AI (LLM only)

A language model answers from what it learned in training

Fluent, flexible conversation

Your specific prices, policies and stock; may invent answers

Grounded AI (LLM + RAG)

Looks up your content first, then the AI writes the answer from it

Accurate, natural answers about your business

Only as good as the content you give it

If you take one thing from this article: for a business website, you want the third type. For what that means day to day, read our guide to AI chatbots for small business.

How a rule-based chatbot works

Rule-based bots are flowcharts with a chat window. You design the paths: “Are you a new or existing customer?” → “What do you need help with?” → three buttons. The bot never improvises.

That predictability is a strength. A rule-based bot won’t promise a discount you don’t offer. It’s ideal for structured jobs like booking a table, choosing a product size or routing a support ticket.

The weakness shows up the moment a real person types something you didn’t plan for. “Can I bring my dog and is there shade for him?” breaks most decision trees. People get stuck, click “Talk to a human” and the bot has saved you nothing.

How an AI chatbot works

An AI chatbot uses a large language model, the same kind of technology behind ChatGPT, Claude and Gemini. The model has learned language patterns from enormous amounts of text, so it can understand a question however it’s phrased and reply in fluent, natural sentences.

On its own, though, an LLM has two problems for business use:

It doesn’t know your business. It has never seen your price list, your delivery areas or your return policy.

It can sound confident when it’s wrong. Ask it about your refund policy and it may write a perfectly plausible one that you’ve never offered. This is often called “hallucination”.

RAG: the part that makes business chatbots trustworthy

Retrieval-augmented generation fixes both problems. It works in three steps:

Index. The chatbot reads your website pages, posts, products and documents and stores them in a searchable form.

Retrieve. When a visitor asks a question, the bot finds the most relevant passages from your content.

Generate. The AI writes an answer using only those passages, and ideally shows the source.

Picture it at 11pm. A visitor on your guesthouse website types, “Is breakfast included if I book the garden room?” A rule-based bot shows a menu. A general AI bot guesses. A grounded AI bot finds your room page, sees that breakfast is included for garden rooms only on weekends, and says exactly that, with a link to the page.

That’s the difference that matters. Everything else, from the widget colours to the avatar, is cosmetic.

What businesses actually use AI chatbots for

After-hours questions. Opening times, pricing, service areas, policies. The repeat questions that eat your day.

Lead capture. Asking for a name, email and phone number when someone is ready, then sending them to your inbox or CRM.

Online store help. Product questions, sizing, order status and shipping for WooCommerce or Shopify stores.

Bookings. Collecting appointment requests or connecting to a calendar.

Messaging channels. Answering on WhatsApp, Messenger or Instagram, which matters especially in South Africa where many customers prefer WhatsApp to email.

Language support. Answering visitors in their own language without hiring multilingual staff.

Benefits, and the honest limitations

Where AI chatbots help: they answer instantly at any hour, handle many visitors at once, never get tired of the same question, and capture leads that would otherwise leave your site.

Where they don’t:

They can’t fix a vague website. If your pricing page says “contact us for a quote”, the bot can only say the same.

They’re not a replacement for people on complex issues. Complaints, negotiations and emotional situations still need a human. Good bots hand over gracefully.

They depend on an AI provider. If that provider has an outage, many bots stop answering. Some fall back to your indexed content instead.

Privacy rules apply. If you collect personal information, you need to handle it lawfully, under POPIA in South Africa or the relevant state privacy laws in the US. Tell visitors they’re chatting with a bot.

Common mistakes when adding a chatbot

Letting it answer from general knowledge. Always check whether the bot answers only from your content. Ask it something not on your site and see if it admits it doesn’t know.

Hiding the human option. A bot that traps people creates frustration. Make it easy to leave a message or call.

Never reading the transcripts. The questions people ask your bot are free market research. If ten people a week ask about parking, put parking on your homepage.

Ignoring speed. A heavy chat widget can slow down every page. Check PageSpeed before and after.

How to choose an AI chatbot

Ask any vendor these five questions:

Does it answer only from my content, and does it show sources?

How am I billed: monthly, per user, per answer or once?

Where are conversations and leads stored?

What happens when the AI provider is down?

Can visitors reach a person easily?

For a side-by-side look at the main options, see our comparison of the best WordPress AI chatbot plugins, and for the money side, what a chatbot really costs over three years.

AI chatbot vs live chat vs contact form

These three get confused, and many sites run more than one. Here’s how they differ in practice:

Contact form

Live chat

AI chatbot

Who answers

You, later

A person, in real time

Software, instantly

Available

Always (reply is delayed)

When staff are online

24/7

Cost driver

Your time

Staff hours and software

Software and AI usage

Best for

Detailed quotes and bookings

Complex or high-value sales

Repeat questions and lead capture

For most small businesses, the sweet spot is an AI chatbot that answers the common questions and collects contact details, with a clear route to a person for everything else.

How to prepare your website before adding an AI chatbot

Because a grounded chatbot answers from your content, the quality of its answers is set by the quality of your pages. Spend an hour on this first and the bot will be noticeably better:

Write down your top 20 customer questions. Ask whoever answers the phone. Then check each one has a clear answer somewhere on your site.

Put real prices on the page, or at least “from” prices and what affects the final cost. “Contact us for pricing” gives the bot nothing to work with.

Spell out policies: cancellations, refunds, delivery areas and times, payment methods.

Add a proper FAQ page with one question per heading. It helps the chatbot, Google and AI search tools all at once.

Remove outdated pages such as old specials, past events and discontinued products, or the bot may quote them.

Check your contact details are consistent everywhere: phone, email, address and hours.

There’s a bonus. The same clear, question-and-answer content that makes a chatbot accurate is what helps ChatGPT, Google AI Overviews and Perplexity understand and recommend your business. That’s the core of AI visibility (GEO), and it’s why we tell clients to fix their content before buying any chatbot.

Where chatbots came from, briefly

The first chatbot most people cite is ELIZA, built at MIT in the 1960s, which mimicked a therapist by reflecting users’ words back as questions. For decades after, chatbots were rule-based: clever scripts, but scripts. The big shift came with large language models in the early 2020s, which made it possible for software to understand loosely phrased questions and reply naturally. RAG followed as the practical fix for businesses that needed those fluent answers to be accurate.

The takeaway for a business owner: the technology moved from “follows a script” to “understands and answers”, and the risk moved from “doesn’t understand” to “might make things up”. Grounding the bot in your own content addresses that newer risk.

A simple way to judge any AI chatbot in five minutes

Open the chatbot on a site and ask three things: a question the site clearly answers, a question the site answers only partly, and a question the site doesn’t cover at all. A good grounded chatbot answers the first with a source, gives what it can on the second and points you to a person, and says plainly that it doesn’t know the third. If it confidently answers all three, it’s guessing.

Frequently asked questions

What is the difference between a chatbot and an AI chatbot?

A traditional chatbot follows fixed rules, menus and keywords. An AI chatbot uses a large language model to understand questions however they’re phrased and reply in natural language.

Is ChatGPT a chatbot?

Yes. ChatGPT is a general-purpose AI chatbot. On its own it doesn’t know your business’s prices or policies, which is why business chatbots add retrieval from your own content.

What does RAG mean in chatbots?

Retrieval-augmented generation. The chatbot first retrieves relevant passages from your content, then the AI writes its answer from those passages, which greatly reduces made-up answers.

Can an AI chatbot replace customer service staff?

It can handle repeat questions and after-hours enquiries, but complex, sensitive or high-value conversations still need people. The best setups hand over to a human smoothly.

Do I need to tell visitors they’re talking to a bot?

Yes, it’s good practice and builds trust. Label the chat as an AI assistant and make it easy to reach a person.

Key takeaways

Rule-based bots follow scripts; AI chatbots understand natural language.

For business use, choose an AI chatbot grounded in your own content (RAG).

A chatbot is only as accurate as your website content.

Always offer a route to a real person, and handle personal data lawfully.

Monthly, per-seat, per-answer or once? Real 2026 chatbot prices from Tidio, ChatBot.com, Intercom, WPBot and Outview, compared over three years.

The post How Much Does a Chatbot Cost? Subscription vs Lifetime Licence appeared first on Outview.

Short answer: a website chatbot costs anywhere from $0 to well over $1,000 a year, and the pricing model matters more than the sticker price. Subscription tools (Tidio, ChatBot.com, Intercom) charge monthly, often per user and per AI answer, so the bill grows as you grow. Lifetime-licence plugins charge once, and you pay an AI provider such as OpenAI directly for usage. Over three years, a one-time licence plus usage usually costs a fraction of a subscription for a small business. The exception: if you need a large, hosted support team setup, subscriptions earn their keep. If you go the licence route, our guide to adding an AI chatbot to WordPress shows what setup involves.

The four ways chatbots are priced in 2026

Before comparing numbers, it helps to know what you’re actually being charged for. Almost every chatbot uses one, or a mix, of these models:

Per month, flat. One price, a set number of conversations. Simple until you outgrow the cap.

Per user (seat) per month. Every staff member who logs in costs extra. ChatBot.com and Intercom work this way.

Per AI answer. Charged per “resolution” or per AI conversation. Intercom’s Fin AI agent starts at $0.99 per resolution; Tidio sells Lyro AI conversations in bundles.

One-time licence plus your own AI key. You buy the software once and pay the AI provider for the tokens you use. Outview AI Chatbot and WPBot’s lifetime plans work this way.

Here’s the thing most pricing pages don’t spell out: models 2 and 3 scale with success. More customers means more chats, which means more AI answers and probably more staff seats. Your chatbot bill rises exactly when the bot is doing its job.

Real prices, checked on 2 October 2026

Tool

Model

Published price

What to watch

Tidio

Monthly + AI add-on

Free (50 conversations); Starter $290/year; Growth from $590/year; Lyro add-on from $32.50/month

Free and Starter Lyro conversations are a one-off 50, not monthly

ChatBot.com

Per user per month

Essential $19/user/month annual ($25 monthly); Growth $79 annual ($99 monthly)

Essential includes 10 AI resolutions a month

Intercom

Per seat + per resolution

$29, $85 or $132/seat/month annual; Fin from $0.99 per resolution

Resolution fees grow with volume

WPBot

Yearly or lifetime

$39/year (1 site); lifetime $149 (5 sites)

$49 / $99 / $269 once (R999 / R1,999 / R4,500)

Prices change, so always confirm on the vendor’s pricing page before you buy.

The three-year view

Monthly fees look small. Multiply them by 36 and they don’t. Here’s a realistic scenario: one website, one person who checks the chat inbox, and roughly 100 AI-answered conversations a month.

Intercom Essential: $29 × 36 months = $1,044 for the seat, plus $0.99 × 100 × 36 = $3,564 in Fin resolutions. Total: about $4,608.

Tidio Starter + Lyro add-on: $290 × 3 = $870, plus $32.50 × 36 = $1,170. Total: about $2,040, and Lyro’s entry bundle covers 50 conversations a month, so 100 would need a bigger bundle.

ChatBot.com Essential: $19 × 36 = $684, but only 10 AI resolutions a month are included. At 100 a month you’d likely need Growth: $79 × 36 = $2,844.

Outview Starter: $49 once, plus whatever your AI provider charges for 3,600 conversations.

What does that AI usage actually cost? It depends on the model you pick and how long your answers are, so we won’t pretend there’s one number. Check your provider’s current per-token rates (for OpenAI, that’s openai.com/api/pricing) and look at your usage dashboard after the first week. For a typical small-business site, retrieval-grounded answers are short, and smaller models are cheap.

Run your own scenario with our 3-year chatbot cost calculator. It takes about 30 seconds and works in Dollars or Rand.

Why the subscription model exists (and when it’s worth it)

We sell a one-time licence, so it would be easy to call subscriptions a rip-off. They’re not. You’re paying for real things:

Hosting and maintenance. The vendor runs the servers, handles updates and keeps the AI working.

Bundled AI. No API keys, no provider accounts. It just works.

Team features. Shared inboxes, assignment rules, reporting, SLAs. Intercom’s Expert plan includes SSO and HIPAA support, which a small plugin won’t match.

Support. Larger vendors offer dedicated success managers on top tiers.

If you run a SaaS company with ten support agents, Intercom’s cost is small next to salaries. That’s a fair trade.

When a one-time licence makes more sense

Imagine you run a guesthouse in Franschhoek, a physio practice in Durbanville or a roofing company in Phoenix. You don’t have a support team. You have a website, a phone and too many after-hours questions: “Do you have parking?”, “What’s your cancellation policy?”, “Do you quote on weekends?”

For that business, a subscription charges you every month for software that mostly answers the same 30 questions. A one-time licence makes more sense when:

One or two people handle enquiries.

Your site runs on WordPress.

You want conversations and leads stored on your own server.

You’d rather not watch a usage meter tick up during your busiest month.

You’re in South Africa and tired of paying Dollar subscriptions with forex fees on top.

Hidden costs nobody mentions

Overage and tier jumps. Go over your conversation cap and you’re bumped to the next tier, or chats stop being answered by AI. Read the fine print on what “billable conversation” means.

Exchange rates. A $49 monthly subscription at R18 to the Dollar is R882 a month. If the Rand weakens, your bill rises without anyone touching the price. A Rand-priced, once-off licence avoids that.

Your time. A cheap tool that takes a weekend to configure isn’t cheap. Ask how long setup takes and whether there’s a guided wizard.

Lock-in. When you leave a SaaS tool, your conversation history and bot training often stay behind. Self-hosted data stays in your WordPress database.

Site speed. Heavy chat widgets can slow your pages, which affects both Google rankings and conversions. A slow site is a cost too, even if it never shows up on an invoice.

A simple decision framework

Count your chat volume. Check your contact form, email and WhatsApp for a month. How many questions are repeats?

Count your people. If more than three staff need to log in and answer chats, team features matter.

Check your platform. On WordPress, self-hosted plugins are an option. On Shopify or Wix, a hosted tool is usually easier.

Price it over 36 months, not one. Include AI usage, seats and likely tier upgrades.

Test on real pages. Ask the bot about your actual pricing and policies before you pay.

If you’re unsure which Outview licence fits, this three-question tool gives you an answer. For a full side-by-side of the main tools, see our WordPress AI chatbot plugin comparison.

How to estimate your own AI usage before you buy

With any bring-your-own-key chatbot, the honest answer to “what will AI cost me?” is “it depends on your traffic”. You can still get a solid estimate in about 20 minutes:

Count last month’s enquiries. Add up contact form submissions, enquiry emails, WhatsApp messages and phone calls that were really questions. That’s your baseline.

Add the people who never asked. Many visitors leave rather than fill in a form. A chat window usually surfaces more questions than your inbox shows, so a reasonable planning assumption is somewhere above your baseline. Watch the real number in week one rather than guessing.

Check your provider’s per-token price for the model you plan to use. Smaller, faster models cost far less than flagship models and are usually enough for answering from your own pages.

Set a monthly spend limit in your AI provider’s dashboard. OpenAI and others let you cap usage, so a viral day can’t produce a surprise bill.

Review after seven days. Your usage dashboard shows exactly what you’ve spent. Adjust the model or limit from there.

Compare that with a subscription, where the vendor decides what a “conversation” or “resolution” is and what happens when you go over. Neither is wrong, but one gives you a meter you control.

Pricing in South Africa vs the US

Most chatbot platforms price in US Dollars. For a business in Austin or Atlanta, that’s simple. For a business in Cape Town or Pretoria, it adds two costs most comparisons ignore.

Exchange-rate drift. A Dollar subscription is a moving Rand cost. Budget it at today’s rate and it may be higher next year without the vendor changing anything.

Card and forex fees. Many South African bank cards add a fee on foreign transactions. It’s small per month but it’s there every month.

That’s one reason we price Outview’s South African licences in Rand (R999, R1,999 and R4,500) with EFT available. Your AI provider usage will usually still be billed in Dollars, but it’s usage-based and you control the cap.

Questions to ask any chatbot vendor before paying

What exactly counts as a billable conversation or resolution?

What happens when I go over my limit: higher bill, blocked chats, or automatic upgrade?

Is the price per user, and who counts as a user?

Can I export my conversation history and leads if I leave?

Does the bot answer only from my content, and can it show sources?

What does the price look like if my traffic doubles?

A vendor who answers those clearly is usually one worth working with, whatever their pricing model.

Frequently asked questions

How much does a chatbot cost per month?

Published prices range from free (with strict limits) to $29–$132 per seat per month, plus per-answer AI fees on some platforms. One-time licences avoid a monthly software fee; you pay only AI usage.

Is a lifetime chatbot licence really lifetime?

It means you can keep using the version you bought without paying again. Check what the vendor says about updates and support periods before buying.

Do I still pay for AI with a one-time chatbot licence?

Yes. You connect your own AI provider account (such as OpenAI) and pay them directly per use. The upside is no markup and full visibility of what you spend.

What is a chatbot “resolution”?

A conversation the AI closes without a human stepping in. Intercom charges from $0.99 per resolution; ChatBot.com includes a monthly number of AI resolutions per plan.

Is a free chatbot good enough for a small business?

Sometimes. Tidio’s free plan covers 50 conversations a month and AI Engine’s free WordPress plugin is capable. Watch the limits: grounded answers from your own content are often a paid feature.

Key takeaways

Compare chatbots over three years, not one month.

Per-seat and per-answer pricing rises as your business grows.

Subscriptions are worth it for larger support teams that need hosted team tools.

For small WordPress businesses, a one-time licence plus your own AI key is usually far cheaper.
