Who we are

What personal data we collect

We collect personal data in the following ways:

Contact and enquiry forms — name, email address, phone number, and any message you send us (for example via our Contact page or a strategy call booking).
The AI Support Agent chatbot widget — if you chat with the AI assistant on this site, we store the conversation content and any personal details you volunteer during it (such as your name, email, or phone number) so we can follow up on your enquiry. Your messages are sent to our AI provider(s) to generate a response — see “Third-party services” below.
Purchases — if you buy a product or service through our store, we (and our payment processor) collect billing details, order history, and payment information necessary to process the transaction. We do not store your full card details ourselves; these are handled directly by our payment processor.
Account data — if you create an account (e.g. via My Account or the Client Portal), we store your login details and associated profile information.
Automatically collected data — IP address, browser type, device information, and pages visited, collected via cookies and standard server logs.

Why we collect it

We use your personal data to: respond to enquiries and provide quotes; deliver the products and services you purchase; operate and improve the AI Support Agent chatbot and this website; send you information you’ve requested (such as onboarding or account emails); comply with our legal and accounting obligations; and, where you’ve agreed to it, send you marketing communications about our services.

Cookies

If you leave a comment on our site you may opt in to saving your name, email address and website in cookies, for your convenience on future comments. These cookies last for one year.

If you visit our login page, we set a temporary cookie to determine if your browser accepts cookies. When you log in, we also set cookies to save your login information and screen display choices; login cookies last two days, and screen option cookies last a year. If you select “Remember Me”, your login persists for two weeks.

Our WooCommerce store uses cookies to manage your cart and checkout session. Our AI Support Agent widget may use a local browser identifier to keep track of your conversation across page visits, so the chatbot can continue where you left off.

Third-party services we use

We share limited personal data with the following categories of third-party service providers, solely to operate our website and deliver our services:

AI model providers (e.g. OpenAI, and speech providers such as Whisper/ElevenLabs where voice chat is used) — process chatbot conversation content to generate responses. These providers may process data outside South Africa.
Payment processor — processes your payment details when you make a purchase through our store.
CRM and email tools — captured leads and enquiries may be synced to the CRM or email platform we use internally to manage follow-up.
Hosting and infrastructure providers — store the website and its data securely.
Analytics tools — help us understand site usage in aggregate; where these use cookies, they are covered above.

We do not sell your personal data to third parties.

How long we retain your data

We retain enquiry and chatbot conversation data for as long as reasonably necessary to respond to your enquiry and for a limited period afterward for record-keeping. Purchase and account records are retained for as long as required by South African tax and accounting law. You can ask us to delete data we hold about you at any time, subject to our legal obligation to retain certain records.

Your rights

Under South Africa’s Protection of Personal Information Act (POPIA), and the GDPR where it applies to you, you have the right to: access the personal data we hold about you; ask us to correct inaccurate data; ask us to delete your data; object to or restrict certain processing; and lodge a complaint with the Information Regulator (South Africa) or your local data protection authority. Data security

We take reasonable technical and organisational measures to protect the personal data we hold, including encrypted data handling and access controls. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Children’s privacy

Our website and services are intended for businesses and individuals over the age of 18. We do not knowingly collect personal data from children.

We may update this privacy policy from time to time. The “Last updated” date at the top of this page reflects the most recent revision.
